● Payment: The full payment is required at the time of registration if you choose to pay by credit card. If you opt for invoicing, the full payment must be made within 3 working days upon receipt of the invoice. Please note that your registration will only be confirmed once the full payment has been received.                
● Non-Attendance: In the event of non-attendance, unpaid registrations will be invoiced for 50% of the registration fee. However, we will ensure that a copy of the conference documentation is mailed to you.                
● Inclusions: The registration fee covers the cost of refreshments, lunches, and comprehensive conference documentation. Please be aware that the fee does not include accommodation at the hotel.              
● Credit Card Guarantee: Delegates who cannot provide proof of payment will be asked to provide a credit card guarantee by the event staff.

● BIOMAP's Discretion: BIOMAP reserves the right to postpone or cancel an event, modify the event location, or make changes to the advertised speakers for any given event.                
● Force Majeure: BIOMAP cannot be held responsible for any loss or damage resulting from the substitution, alteration, postponement, or cancellation of an event due to circumstances beyond its control. Such circumstances may include, but are not limited to, acts of God, natural disasters, sabotage, accidents, trade or industrial disputes, terrorism, or hostilities.                
● Delegate Costs: In the event of a conference cancellation, BIOMAP is not liable for any costs incurred by delegates in relation to their attendance, including travel, accommodation, or other related expenses.                ● Content and Timing Alterations: BIOMAP reserves the right to exercise control over the content, timing, and venue of the conference without assuming any liability towards the delegates. Any changes made to the agenda will be promptly updated on our website for the convenience of all participants.

● Written Cancellations: All cancellations must be submitted in writing. We kindly request that you provide written notice for cancellations.                
● Cancellation Period: Cancellations received more than 14 days prior to the conference will result in a full credit note, which can be applied towards a future conference.                ● Late Cancellations: Cancellations received 14 days or less before the conference, including the fourteenth day, will be subject to the full fee and no credit note will be issued.                ● Substitution: Substitution of attendees from the same organization is permitted at any time, provided it is requested in writing, and no additional charges will be incurred.                
● BIOMAP Event Cancellation: In the event that BIOMAP cancels a conference, payments received up until the cancellation date will be credited towards attendance at a future conference. If the conference is postponed by BIOMAP, the payments will be credited towards the rescheduled date.                
● Validity of Credit Notes: Credit notes issued for cancellations remain valid for a period of twelve months from the date of issue.
